Scattered data, no clear picture

Fivetran runs a hybrid workforce across several offices worldwide. Managing that footprint meant juggling multiple systems: badge data from access control, WiFi data, coworking usage from external providers, and visitor logs tracked separately at each location. Every system collected useful data on its own, but none of them connected.

For Dan O’Neal, Sr. Director of Global Real Estate & Workplace Experience, the problem wasn’t missing information, but scattered information.

"We had a variety of tools, including WiFi data, badge data, and other coworking aggregators. It was a mix-and-match of solutions, but the difficulty was to centralize that and report from it. Each system was so siloed that it was difficult to create a forecast and develop meaningful conversations from that data."

Without a unified view, some questions were hard to answer with confidence: Which offices are underutilized? Which desks sit empty on Tuesdays? How many visitors came through each office last month? The team was making decisions based on broad assumptions rather than precise, site-level data.

What Fivetran needed

  • Bring office utilization, desk booking, and visitor management into a single platform across 9 locations
  • Replace general assumptions with team-level and site-level forecasting
  • Connect existing infrastructure (Access control, WiFi, HRIS) without ripping anything out
  • Build a data foundation that supports strategic conversations with executive leadership

Why Fivetran chose Gable

Fivetran evaluated its options with a clear filter: the platform had to integrate with existing systems and grow with the company. Point solutions that did one thing well weren’t sufficient. Dan’s team needed office management, visitor management, coworking access, and event coordination in one place, producing unified data they could act on.

Gable met that bar. It connected directly to Fivetran’s access control, WiFi, and HRIS, pulling utilization data into a single dashboard alongside desk bookings and visitor check-ins. No migration required; no systems ripped out.

What also stood out was focus. Dan didn’t want a platform that tried to do everything and did nothing well.

"I don’t need something that does a thousand things. I need a system that does 5-10 things extremely well." — Dan O’Neal, Sr. Director of Global Real Estate & Workplace Experience

What changed

One dashboard for 9 offices

With nine offices on Gable, Dan’s team now sees desk bookings, meeting room usage, and access control data in one view. That visibility changed how workplace decisions get made at Fivetran. Instead of pulling reports from three systems and trying to reconcile them, the team starts from a single source of truth and takes that data directly to leadership.

"Gable is the place where conversations start. I can have more meaningful conversations based on what I’m seeing, from my team all the way to the ELT team", says Dan.

Consistent visitor experience at every site

With Gable’s visitor management system running at their offices, Fivetran brought consistency to how guests are welcomed, logged, and tracked across sites. Visitor data now flows into the same platform where the team monitors office utilization, giving a complete picture of who’s using each space and when.

Real data for real estate decisions

Before Gable, utilization metrics were broad. The team could see overall occupancy numbers, but breaking that down by specific teams, floors, or days of the week required manual work.

Now, Fivetran uses team and site-level patterns to make strategic real estate decisions: building a business case to expand an existing office when a specific team's headcount forecast calls for it, identifying emerging markets where demand is outpacing direct space costs, and shaping the long-term real estate strategy as Fivetran integrates its merger with dbt Labs.

"Gable simplifies our work and moves past general assumptions around utilization metrics to more personalized forecasting at the team and site level."

A partner, not a vendor

With more than 600 employees on the platform, Fivetran's team has made Gable part of their daily workflow. But what Dan values most is that the Gable team understands Fivetran's needs and moves quickly to address them.

"Gable is moving and evolving as fast as we are moving as a company. They are at the forefront of this new workforce evolution and are positioned to scale and grow with us." — Dan O’Neal
